Overall, the Training & Outreach Specialist will:
USIP Training Program:
Assess (market research) and recommend a list of TP products relevant to the MENA region;
Work closely with relevant HQ Staff and Instructors to develop and execute the TP courses’ catalogue and other products;
Send out invitations for trainings/events and follows-up on attendance and registration;
Coordinate logistics for training courses/events with the support of the Administrative team, including, but not limited to: travel, accommodations, translation, transportation;
Prepare all materials, supplies, and ensure venue and equipment are prepared, in coordination with relevant HQ Staff, Trainers, and Administrative team;
Egypt Youth Project:
· Support the implementation of the Egypt youth project in Egypt, with the program team in Tunis;
· Liaise and support communications with project stakeholders and implementing partners in Egypt and Washington, D.C.;
· Support the development of content for online courses, in close coordination with USIP’s relevant HQ staff and Egyptian implementing partners (e.g. reviewing language supplementary resources, facilitating translation);
· Support the drafting and review of curriculum and agendas for workshops and meetings, both online and in-person;
· Monitor and engage in online discussion forums with Egyptian youth;
· Update program databases and documents as necessary to ensure the knowledge management of USIP’s programs;
· Support the project’s monitoring and evaluation processes as needed;
· Help with drafting and editing of monthly, quarterly, and annual reports for both internal and external project stakeholders;
· Make appointments, attend meetings, and take notes as needed.
· Maintain contract management and execution processes (e.g., requisitions, invoice and expense processing, and payment monitoring);
· Work with Finance teams in Tunis and Washington, D.C. to generate routine budget and financial reports to help monitor program budget;
· Help reconcile the budget of program by inputting transactions correctly, obligating funds, processing travel vouchers and reimbursements, and tracking the budget using financial software;
· Provide contract management support activities, including drafting the initial contract proposal language, completing the USIP contract template, processing invoices, and monitoring payment of contractor services;
· Complete administrative travel processes for domestic and international travel (e.g., travel authorizations, advances, cash request, vouchers and reimbursements).
· Coordinate logistical arrangements for Tunis-based project events, including reserving rooms, developing invitations, monitoring RSVPs, ordering food and supplies, arranging room set-up, and serving as the main point-of-contact for attendees;
· Liaise with implementing partners on logistical arrangements for project events outside of Tunis;
· Coordinate domestic and international travel and overnight accommodations for event participants and USIP staff;
